Privacy Policy

Rephasing is an informal organisation run by Gareth Coles, resident in and under the jurisdiction of the Republic of Ireland. This privacy policy will explain how we use the personal data we collect from you when you use our website, community spaces, and services.

Data Collection & Mangement

Rephasing collects data from you depending on which of our services you use, and how you use them.

Discord Server

We do not collect any data from you when you use our Discord server.

However, we do use several Discord bots and services, and these tools provide access to the data they collect in accordance with their privacy policies:

    • Core moderation tool, required for the day-to-day maintenance for our Discord community. Collects and processes data automatically.
    • Accessibility tool, meant for use by members of plural systems. Doesn't collect any data unless you explicitly configure it.

    • Community tool, used to highlight popular projects posted in our Discord server. Collects and processes data automatically.
    • You can remove your messages from any starboard via the “Apps” menu, accessed by tapping-and-holding or right-clicking on a message.

You can object to and prevent this data collection by leaving the Discord server.

Additionally, Discord processes and provides access to your data according to their privacy policy.

Emails

We use two email providers, each with their own privacy policies:

  • FastMail: Our general email provider, which handles incoming email and allows us to respond to your emails directly as needed.
    • Fastmail's privacy policy is available on their website. We only use this provider when you directly send a moderation- or privacy-related email to us, and as we need to keep track of these emails to maintain our services on a day-to-day basis, we don't currently automatically remove them. If you'd like us to delete the emails you've send us, or remove your address from our contacts, please let us know by contacting us, as explained below.
  • UniOne: Our transactional email provider, used by our forum and wiki to send you account-related and notification emails, according to your settings on each platform.
    • According to their GDPR compliance page and privacy policy, UniOne stores recipient email addresses in its logs for up to 185 days, and anonymised statistical data for up to 400 days. You can contact them at privacy (AT) unione.io to have this information removed, but please note that it will affect our ability to send you important emails, such as password reset emails.

Forum (Browsing)

When you browse the forum without an account, we collect the following data:

  • A salted hash of your IP address, used to calculate page view and visitor statistics in the admin panel (this hash is non-reversible, and we can't figure out your IP address using it)

We also use Cloudflare, which processes and provides access to your data according to their privacy policy.

Forum (With Account)

When you use our forum with an account, we collect the following data, as provided to us by you when you consent to data collection when you register, and through your continued use of the forum:

  • Your personal identification information (Name, email address, profile information, username)
    • Your name, profile information and username are available to the public through the forum's web interface, and are used to associate your identity with your content.
    • Your email address is used to confirm and recover your account, prevent duplicate accounts, notify you of any account-related issues or changes, and to send you notifications and digests according to your settings.
      • Our forum sends emails to you via UniOne, as explained above.
  • IP addresses and information about your browser, collected for moderation purposes (to allow us to find duplicate accounts, combat spammers, etc.)
  • Content you upload to the forum, including files, media, post text, etc.
    • This content is available to the public through the forum's web interface.
    • New topics you post will be submitted to our Discord server via a webhook, so our users know there's a new topic to participate in.
    • Files you upload (including images and other media) are hosted by and accessed via Cloudflare's R2 data storage service, in a bucket in their Western Europe (WEUR) region.

We use the following services to support our moderation efforts:

We use the following services as optional authentication providers, and they provide us with a limited set of data when you use them:

  • GitHub – Provides us with your username, avatar, and email address.
  • Google – Provides us with your account ID, name, given name, family name, avatar, and email address.

We also plan to use the following services as optional authentication providers, but they aren't currently implemented due to technical difficulties:

  • Discord – Provides us with your username, avatar, banner, and email address.

We also use Cloudflare, which processes and provides access to your data according to their privacy policy.

Managing Data

We provide a self-service portal that you can use to export or delete your data from our forum's systems.

  • To remove your data: Log into the forum, go to your profile page (by clicking/tapping on your avatar in the corner), select “Edit Profile” in the menu, and then use the “Delete Account” button.
    • This will anonymise your posts, but it won't remove them entirely. If you wish to remove your posts, please contact us as explained below, or edit/delete them individually.
  • To download your data: Log into the forum, go to your profile page (by clicking/tapping on your avatar in the corner), select “Your Rights & Consent” in the menu, and then use the corresponding buttons under the “Data Portability” header.

Website

We do not collect any data from you when you browse our website.

However, we do use Cloudflare, which processes and provides access to your data according to their privacy policy.

Wiki (Browsing)

We do not collect any data from you when you browse our wiki.

However, we do use Cloudflare, which processes and provides access to your data according to their privacy policy.

Wiki (With Account)

Wiki accounts are created manually by our staff team, by request.

When you use the wiki with an account, we collect the following data, as provided to us by you directly, and through your continued use of the wiki:

  • Your personal identification information (Name, email address, username)
    • Your name and username are available to the public through the wiki's web interface, and they're used to credit you for your edits.
    • Your email address is used to confirm and recover your account, and to prevent duplicate accounts.
      • Our wiki sends emails to you via UniOne, as explained above.
  • Your IP address, stored with each edit and visible only to our admin team.
    • We use this to support our moderation efforts and to block those who vandalize the wiki, including in situations where your account may have been compromised.

We also use Cloudflare, which processes and provides access to your data according to their privacy policy.

Managing Data

DokuWiki does not provide any self-service account or data management options.

Instead, please contact us directly or via gdpr (AT) rephas.ing if you'd like to exercise your rights.

Data Storage & Security

We securely store your data on a server located within Hetzner's FSN1 datacentre park, in Falkenstein, Germany. We have signed a Data Processing Agreement with Hetzner, pursuant to Art. 28 of the GDPR.

Direct access to this server is only possible for Hetzner employees (at our request), and direct access to files, applications, and data on this server is only possible for Gareth Coles, the person running Rephasing. All applications and databases are run in containerised environments, with isolated, private networking, and with web interfaces only exposed either via Cloudflare Access, or through a reverse proxy application known as Traefik.

When you upload files (including images and other media) to our forum, we store that data in Cloudflare's R2 data storage service, and that data is served directly from that service. The R2 bucket we use is located in Cloudflare's Western Europe (WEUR) region. We have signed a Data Processing Agreemnt with Cloudflare, pursuant to Art. 28 of the GDPR, as required by Cloudflare when we signed up for their services.

Direct access to this data is only possible for Gareth Coles, the person running Rephasing, and additionally via the direct URLs provided on the forum when uploaded files are embedded within posts. These URLs are uniquely generated, and do not allow someone to find other files not directly linked.

Your Rights

Rephasing would like to make sure you're fully aware of all of your data protection rights. Everyone is entitled to the following:

  • The right to access: You have the right to request Rephasing for copies of your personal data. We may charge you a small fee for this service.
  • The right to rectification: You have the right to request that Rephasing correct any information you believe is inaccurate. You also have the right to request Rephasing to complete information you believe is incomplete.
  • The right to erasure: You have the right to request that Rephasing erase your personal data, under certain conditions.
  • The right to restrict processing: You have the right to request that Rephasing restrict the processing of your personal data, under certain conditions.
  • The right to object to processing: You have the right to object to Rephasing's processing of your personal data, under certain conditions.
  • The right to data portability: You have the right to request that Rephasing transfer the data that we have collected to another organisation, or directly to you, under certain conditions.

Cookies

Cookies are text files placed on your computer to collect standard Internet log information and visitor behavior information. When you visit our websites, we may collect information from you automatically through cookies or similar technology.

We use cookies to keep you signed into our services when you use your account, and to save your light/dark mode preferences

There are a number of different types of cookies. However, our website uses:

  • Functional: Rephasing uses these cookies so that we recognise you on our website, and remember your previously selected preferences. These could include a login session identifier, and whether you prefer a light or dark colour scheme.

Managing Cookies

You can set your browser not to accept cookies, and the previously-linked webistes tell you how to remove cookies from your browser. However, this may cause some of our website features not to function.

Other Websites

The Rephasing website and services contain links to other websites. Our privacy policy only applies to our website, so if you click/tap a link to another website, you should stay informed by reading their privacy policy.

Policy Changes

Rephasing keeps its privacy policy under regular review, and places any updates on this webpage. We also announce all policy changes on our Discord server and forum.
